Accounting that posts itself

Accounting in the all-in-one Orixya retail system is a double-entry general ledger that fills itself from daily operations. Sales, POS shifts, purchases, supplier bills, payments, expenses and stock adjustments each post their journal entries automatically. Invoices are created from confirmed orders and supplier invoices are drafted from received purchase orders, so your accountant reviews instead of re-typing.

  • Double-entry general ledger
  • Invoices created automatically from orders
  • Supplier invoices drafted from received POs
  • VAT and bank reconciliation built in

What does Orixya post to accounting automatically?

Orixya posts journal entries for sales invoices, POS shifts, customer payments, supplier invoices, supplier payments, expenses, returns and stock count adjustments. Each entry uses mapped ledger accounts, so revenue, VAT payable, accounts receivable, inventory and cash move together with the operation that caused them.

Operations and the entries Orixya posts
OperationWhat Orixya does in accounting
Sales order confirmedCreates the invoice and posts receivable, revenue and VAT
POS saleCreates a paid invoice and posts revenue, VAT and cash or bank
Purchase order receivedDrafts the supplier invoice for review
Payment recordedPosts cash or bank against the invoice
Expense recordedPosts the expense against its category account
Invoice cancelled or payment deletedPosts a reversing entry

How are invoices created?

Confirming a sales order creates its customer invoice automatically, and a POS sale creates a paid invoice on the spot. Receiving a purchase order drafts the supplier invoice. Because documents are generated from the operation, the same sale is never invoiced twice and nothing waits for someone to key it in.

What happens when something is cancelled?

Cancelling an invoice or deleting a payment posts a reversing journal entry rather than silently editing history. The original entry stays in the ledger and the reversal cancels its effect, so revenue and cash balances stay correct and your accountant can see exactly what changed and when.

Does Orixya do bank reconciliation?

Yes. Import a bank statement as a CSV with your own column mapping, and Orixya suggests matches between statement lines and ledger entries with a confidence level. You confirm the matches and investigate the rest, so the bank balance in Orixya agrees with the bank.

Which financial reports are included?

Orixya includes a trial balance, profit and loss, balance sheet, cash flow statement and VAT return, plus a finance dashboard with revenue, expenses and payment status over any date range. Reports export to CSV and PDF for your accountant.

Frequently asked questions

Can my accountant still make manual journal entries?

Yes. Manual journal entries sit alongside the automatic ones in the same ledger.

Does Orixya handle more than one currency?

Yes. Transactions can be recorded in more than one currency, and exchange rates are kept in the system for conversion.

We already have accounting software. Can we keep it?

Yes. Use the RFID integration route and keep your accounting in your current system; Orixya then provides the RFID layer only.
