How it works

From first tag to first count

An Orixya rollout follows one of two tracks. If you keep your current ERP, POS or warehouse system, we connect Orixya’s RFID layer to it and pilot one flow first. If you run on Orixya, we set up your products and go live at the POS. Both tracks share the RFID core: tagging, readers and gates, and a first full count.

How does a rollout work when we keep our own system?

We start from your system, not ours. We learn how it exposes products, orders and stock, map that data to RFID tags, then tag stock and install readers. One flow, such as receiving or dispatch, is piloted end to end before the rest is rolled out, and every RFID event flows back into your software.

  1. 1Discovery: we review your system, its API or file exports, and the flows that need RFID.
  2. 2Data mapping: products, orders and locations are mapped to RFID tags and events.
  3. 3Tag stock: labels are printed and encoded, or pre-encoded tags are commissioned with a handheld.
  4. 4Set up readers: UHF RFID handhelds, and fixed readers or RFID gates where goods enter and leave.
  5. 5Pilot one flow: for example receiving or dispatch, checked end to end with your team.
  6. 6Roll out: the remaining flows and locations are connected, with events pushed back to your system.

How does a rollout work on the Orixya retail system?

There are seven steps, each with a clear owner. We lead planning, setup and training; your team tags stock with our help and takes over daily selling and counting. The timeline depends on how many items you carry and how many locations you have, so we plan it with you after the walk-through.

  2. 2Product setup: products, sizes, colors, prices and locations are configured.
  3. 3Tag stock: labels are printed and encoded on an RFID label printer, or pre-encoded tags are commissioned with the handheld.
  4. 4Set up readers: UHF RFID handhelds, and fixed readers or RFID gates where goods enter and leave.
  5. 5First full count: an RFID sweep sets a correct opening stock for every location.
  6. 6Go live at the POS: cashiers sell by RFID, and sales post to accounting automatically.
  7. 7Ongoing counts: regular RFID cycle counts keep stock accurate week after week.

How is existing stock tagged?

Two ways. Labels can be printed and encoded on an RFID label printer-encoder, ready to attach, or blank pre-encoded tags can be commissioned with a handheld, linking each tag to its product and size. New purchases can arrive already tagged and be received with RFID.

Where do handhelds and fixed readers go?

Handhelds are for counting, locating items, receiving and checkout. Fixed readers and RFID gates suit points where goods pass regularly, such as receiving bays, stock-room doors and dispatch points, so movements are captured without anyone scanning. All readers feed the same real-time pipeline.

How are staff trained?

On-site, on your own devices and stock. Stock staff learn counting, locating and receiving; cashiers learn RFID checkout, returns and shift close if you use the Orixya POS; managers learn reports and reconciliation. We stay available by phone and WhatsApp after go-live.

Frequently asked questions

Do we have to close the store to tag stock?

Usually not. Tagging can be done section by section while you trade, and the first full count is scheduled at a quiet time.

How long does a rollout take?

It depends on how many items you carry, how many locations you have and, for integrations, how your system exchanges data. We plan the timeline with you after discovery.

Can we start with one store or one flow?

Yes. Most businesses start with one location, or with one flow such as receiving or dispatch, and extend from there.
